What we may collect

Once you register with us, complete your online account, upload information or otherwise provide us with your details, you are no longer anonymous to us.

Spacily is a venue booking and event-planning site. We do not show advertising, nor include third-party tracking cookies.

Spacily does not process your personal data unless you choose to create a user account with us. In that case, Spacily is a 'data controller' in terms of the GDPR, and we process data in line with the GDPR data protection principles:

  1. Lawfulness, fairness and transparency
    • We only process personal information that you supply directly to us and part of the sign-up process, or information about the services we supply to you.
  2. Purpose limitation
    • We only process data for the explicit purpose of providing venue booking and event planning services and and we do not reprocess the data for any other purpose.
  3. Data minimisation
    • We limit the data that we process to what is necessary for the provision of our services.
  4. Accuracy
    • We take every reasonable step to ensure that the data we process is accurate and up-to-date, and we undertake to rectify inaccuracies that you notify to us.
  5. Storage limitation
    • We will delete your account if you do not log in for more than 180 days (emailing you prior to deletion). You can request your account be deleted at any time (see below).
  6. Integrity and confidentiality
    • We use network, system, software and administration best practices to ensure that data is secure against unlawful or accidental loss, corruption or unauthorised use. In the event of a data breach, we will notify you as well as the competent authorities.

Spacily has nominated a Data Specialist to handle its obligations under the GDPR.

By registering with us, creating a profile or account, uploading information, making enquiries, replying to a message from a venue or a user or from us, or by opting in when presented with the choice, you are consenting to us using your information as set out in this policy. 
As a user of the website, we may contact you electronically:

  • about things similar to those services previously provided to you;
  • to get your feedback on any booking;
  • to obtain further information about a booking, a booking enquiry or your use of the website;
  • for the purposes of research conducted by or our selected partners;
  • to promote the website or our selected partners. 

If you are a new user of the website, you will only be contacted if you agree to it. 
You can choose to sign up for our regular newsletter of venues and events, and change your choice from the user account section of the site.
We will not pass on your personal information to any other third parties without first obtaining your permission. 

Where we store your data

We may transfer your collected data to storage outside the European Economic Area (EEA). It may be processed outside the EEA to fulfil your order and deal with payment. 
By giving us your personal data, you agree to this arrangement and to the use of that data as set out in this policy. We will do what we reasonably can to keep your data secure but we cannot guarantee that others will not gain access to your information. 
Payment will be encrypted. If we give you a password, you must keep it confidential. Please don't share it. Although we try to provide protection, we cannot guarantee complete security for your data, and you take the risk that any sending of that data turns out to be not secure despite our efforts. 

Disclosing your information

We are allowed to disclose your information in the following cases:

  • if you create an account on our website, we can disclose your information to a venue or to another user of the website, or to a person interested in hiring a space;
  • where you agree when presented with the choice, we can disclose your information to the businesses, organisations and selected partners that we work with;
  • if we want to sell our business, or our company, we can disclose it to the potential buyer;
  • we can disclose it to other businesses in our group; and
  • we can disclose it if we have a legal obligation to do so, or in order to protect other people's property, safety or rights.

We can send personally identifiable data about you to venues when you create an account on our website, or make an enquiry or request about a space or venue, or book a space posted on our website.  By making an enquiry, request or booking, or creating an account, you consent to us disclosing your information to that venue, which will then be able to see personal information about you.  We are not responsible for the information that the venue receives and cannot control their use of your information. Information that is in your enquiry, request, booking or account, or that you post in public areas of the website may be used, accessed and stored by others around the world, including those in countries that may not have legislation that guarantees adequate protection of your personal information.  
We can exchange information with others to protect against fraud or credit risks.

Your rights

The EU General Data Protection Regulation (as implemented in the UK in the Data Protection Act 2018) entitles you to request the information that we hold about you (“Subject Access Request”), and also to delete that data if you so wish ('Right to be forgotten').
